How to add html email signatures to various email clients

Assuming you created an html email signature (using an email signature creation tool like sig22 or by hand), I have created some instructions on including it on your email client like outlook, gmail etc.

Microsoft Outlook 2000 – 2003
  1. Download the signature and save to a local file (say sig.html)
  2. In Outlook, go to Tools / Options – Click the third tab entitled “Mail Format”
  3. Under Message Format – where it says “Send in this message format” – choose HTML
  4. Then on the bottom, under “Signature” – click the Signature Picker button
  5. This will open a window – click “New”
  6. Type a title for your signature
  7. Choose the “Use this file as a template” option
  8. Click the “Browse” button and browse through your system to find the sig.html file
    that you made above. Click Select.
  9. Click Next
  10. Click Cancel and then Click OK

Microsoft Outlook 2007
Outlook 2007 Editor does not allow signature file or html to be copied.See this blog for more information on how to set this up.
Gmail
Currently you can only use the text signature from sig22.com in gmail.
There are some public domain add-ins that will allow you to add html signatures with gmail.
Yahoo Mail
Yahoo Mail signature only allows limited characters. So we will need to limit the
features of the signature.

  1. Create a signature in Classic View and do not include the Map.
  2. Login to Yahoo Mail and click on Option.
  3. Click on Email Signature.
  4. Check mark on the html view and then paste the code in it.
  5. Click on Save.
Hotmail
Hotmail does not allow import of html signature, so we will need to do it via rich
text format.

  1. Drag the mouse over the signature preview (step 2) while keeping the left mouse
    button pressed. This will select the html signature.
  2. Press Ctrl-c (on windows system), this will copy the selected signature on the clipboard.
  3. Login to hotmail and click option.
  4. Click Mail to select the Mail Option.
  5. Check mark the Rich Text Box format checkbox.
  6. Click inside the signature box and press Ctrl-v. This will copy the signature from
    the clipboard to the rich text box.
  7. Save the signature.
Microsoft Outlook Express 5 – Adapted from the Microsoft website
  1. Copy the html created in the widnows notepad (or any other text editor *** do
    not use microsoft word ***
    ) and save in a file (e.g. sig.html).
  2. On the Tools menu, click Options.
  3. Click the Signatures tab.
  4. Click New, and then click File.
  5. Type the path and name of the HTML file you want to insert, or click Browse to locate
    the file.
Microsoft Outlook Express 4 – Adapted from the Microsoft website
  1. Copy the html created in the widnows notepad (or any other text editor *** do

  2. On the Tools menu in Outlook Express, click Stationery.
  3. On either the Mail tab or the News tab, click Signature.
  4. Click File.
  5. Type the path and name of the HTML file you want to use, or click Browse and locate
    the file, and then click OK.
  6. Click OK.
  7. To insert your signature into a message, click Insert Signature on the toolbar,
    or press CTRL+SHIFT+S.

To automatically insert your signature in each new message, use the following steps:

  1. On the Tools menu, click Stationery.
  2. On either the Mail tab or the News tab, click Signature.
  3. Click the “Add this signature to all outgoing messages” check box to select it,
    and then click OK.
  4. If you want to add your signature to new messages only, click the “Don’t add signature
    to Replies and Forwards” check box to select it.
  5. Click OK.
AOL
  1. From the File menu, click New
  2. Type in your Signature File
  3. From the File menu, click Save. Name the file and select a location on your computer.
    Don’t forget this When you want to include your signature file in a message, from
    the File menu, click Open. Go to the location of your Signature File, highlight
    the filename you used, and click Open Highlight all the text to select it From the
    Edit menu, click Copy (or ‘CTRL C’)
  4. Go back to the Write Mail form, position your cursor where you want the signature
    to be, and click Paste from the Edit menu (or ‘CTRL V’)
  5. Your Signature File is now inserted into your message

Create email signature with outlook 2007

Outlook 2007 Editor does not allow signature file or html to be copied. Follow these instructions for using signatures created with sig22.com for outlook 2007.

  1. Create a signature in outlook 2007 and name it, say, Signature.
  2. Go to the signature file folder:
    1. For XP: C:\Documents & settings\<user name>\Application Data\Microsoft\Signatures
    2. For VISTA: C:\Users\<user name>\AppData\Roaming\Microsoft\Signatures
  3. Now locate the file called Signature.htm (assuming your signature name is Signature) and open it in notepad.
  4. Remove all the existing html code and copy the code from the sig22.com window (in Step 4)

That’s it!
